Setting Up Your Phone Number
Get your dedicated business phone number working. Learn about number types, voicemail greetings, and how to test your setup.
Why You Need a Dedicated Number
SalesPartner uses a dedicated phone number to handle calls and texts from your leads. This keeps your personal phone separate from business conversations.
Benefits of a dedicated number:
- Leads reach SalesPartner directly, 24/7
- Your personal number stays private
- All conversations are tracked and recorded
- Professional caller ID shows your business name
- Works across calls, texts, and voicemail
Types of Numbers Available
When your account is set up, we assign a phone number that fits your business needs.
Local Numbers — Use an area code from your region. Great if you serve a specific city or area. Local numbers build trust because leads see a familiar area code.
Toll-Free Numbers — Start with 800, 888, or similar prefixes. Good for businesses serving customers nationwide. Leads don't pay to call you.
Your Existing Number — In some cases, you can port your current business number to SalesPartner. This keeps the number your customers already know.
Talk to our team during setup to choose the right option for your business.
Setting Up Your Voicemail Greeting
Your voicemail greeting plays when SalesPartner can't answer a call immediately. A good greeting sets the right first impression.
What makes a good greeting:
- Keep it under 30 seconds
- State your business name clearly
- Let them know they'll hear back soon
- Sound friendly and professional
Example greeting: "Hi, you've reached [Business Name]. We can't take your call right now, but leave your name and number and we'll get back to you shortly. Thanks for calling!"
Your greeting is configured during account setup. Contact support if you need to change it later.
Understanding Extensions
If your company has multiple team members, each person gets their own extension. Extensions let calls route to the right person when needed.
How extensions work:
- Each team member has a unique extension number
- When you take over a conversation, calls route to your extension
- You can see your extension in your profile settings
- Extensions are assigned automatically during setup
Your extension appears in your Profile Settings as a read-only field. If you need it changed, contact your account administrator.
Testing Your Phone Setup
Before going live, test that everything works correctly.
Test incoming calls: 1. Call your SalesPartner number from another phone 2. Listen to the greeting or automated response 3. Leave a test voicemail if prompted 4. Check that the call appears in your conversation list
Test outgoing calls: 1. Open a conversation in the app 2. Use the call button to dial out 3. Verify your caller ID shows correctly on the receiving end
Test text messages: 1. Send a text to your SalesPartner number 2. Verify it appears in your inbox 3. Reply and confirm the lead receives it
If any tests fail, check your internet connection first. For persistent issues, contact support with details about what you tried.
Common Questions
Can I use my existing phone number? In many cases, yes. Number porting takes 1-2 weeks and requires some paperwork. Ask our team during setup if this is right for you.
What happens if I miss a call? SalesPartner answers for you. If it can't reach someone, calls go to voicemail and you'll see the recording in your inbox.
Can leads tell they're not talking to me directly? SalesPartner handles conversations naturally. Leads don't notice a difference because responses are personalized to your business and communication style.
How do I change my phone number later? Contact support. We can assign a new number or help you port a different one. There may be a brief transition period.
Why is my phone field read-only in settings? Your phone number is managed at the company level, not individually. This ensures consistent routing for your team. Contact your administrator for changes.
